This Privacy Policy describes the principles of processing personal data and the use of cookies in connection with the use of the website operated by ProWeldTech sp. z o.o. The document has been prepared in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR).

3. What Data We Process
W zależności od sposobu kontaktu i treści zapytania możemy przetwarzać w szczególności:
- identification and contact data: full name (or company name), e-mail address, phone number;
- message content (e.g., order description, furniture preferences), attachments sent by you;
- billing data necessary to issue an invoice (if cooperation takes place): e.g., company details, Tax ID (NIP), address;
technical data related to website use: IP address, device/browser identifiers, server logs (details in section 11).
4. Purposes and Legal Bases for Processing
We process personal data for the following purposes:
- Responding to contact form inquiries and handling e-mail/phone/WhatsApp correspondence – Article 6(1)(b) GDPR (steps prior to entering into a contract) and Article 6(1)(f) GDPR (legitimate interest – communication and customer service).
- Preparing and sending quotations/offers by e-mail – Article 6(1)(b) GDPR (steps prior to entering into a contract).
- Conclusion and performance of a contract and settlements (including invoicing) – Article 6(1)(b) GDPR (contract) and Article 6(1)(c) GDPR (legal obligation – tax/accounting regulations).
- Establishing, pursuing, or defending legal claims – Article 6(1)(f) GDPR (legitimate interest – legal protection).
- Website traffic statistics and analytics (Google Analytics) – only if the user gives consent – Article 6(1)(a) GDPR (consent).
- Displaying external content (e.g., Google Maps) – depending on configuration, usually after consent or user action – Article 6(1)(a) GDPR (consent) or Article 6(1)(f) GDPR (website functionality) – to the extent necessary.
5. Data Recipients (Processors)
Data may be transferred to entities supporting us in operating the website and communication, in particular:
- hosting and IT infrastructure providers (servers, website maintenance, backups);
- e-mail and office tool providers used to handle correspondence;
- accounting/bookkeeping service providers (if settlements occur);
- analytics and advertising service providers: Google (Google Analytics) and Meta Platforms (Facebook/Instagram) – scope depends on your settings and consents;
- entities authorized under applicable law (e.g., public authorities), if disclosure is required by law.
Note: Contact via WhatsApp means that data (e.g., phone number and message content) is also processed by the service provider (WhatsApp/Meta) under its own rules. We encourage you to review WhatsApp’s privacy policy.
6. Transfers Outside the EEA
We do not intend to independently transfer data outside the European Economic Area (EEA). However, some providers (e.g., Google, Meta/WhatsApp) may process data on infrastructure located outside the EEA. In such cases, transfers are based on appropriate legal mechanisms provided for in the GDPR (e.g., adequacy decisions or Standard Contractual Clauses).
7. Data Retention Period
As a rule, we store data no longer than necessary to achieve the processing purposes:
- inquiries and correspondence regarding quotations/offers – up to 12 months from the end of contact;
- data related to contract performance and settlements – for the period required by tax/accounting regulations and until the limitation period for claims expires;
- data processed based on consent (e.g., analytics) – until consent is withdrawn or until cookies/identifiers are deleted or expire.
8. Rights of Data Subjects
You have the right to:
- access your data and receive a copy;
- rectify (correct) your data;
- erase your data (in cases provided for by the GDPR);
- restrict processing;
- data portability (where processing is based on a contract or consent and carried out by automated means);
- object to processing based on Article 6(1)(f) GDPR;
- withdraw consent at any time (if processing is based on consent) – without affecting the lawfulness of processing carried out before its withdrawal;
- lodge a complaint with the President of the Personal Data Protection Office (UODO).

9. Voluntary Provision of Data
Providing data is voluntary but practically necessary for contact, preparing a quotation, and possible order fulfillment. We do not operate user accounts or an online store – orders are arranged individually via e-mail or WhatsApp.
10. Cookies and Similar Technologies
The website may use cookies (small text files stored on your device) and similar identifiers. They are used for the following purposes:
- Necessary cookies – ensure proper website functioning (e.g., security, basic features, proper display). These cookies are essential and do not require consent.

The website may contain links (icons) to the Controller’s profiles on Facebook and Instagram. Clicking such links redirects you to an external service where the privacy policies of the respective provider apply.

We may update this Privacy Policy in the event of changes in the website’s operation, tools used, or legal regulations. The current version of the document will be published on the website.
